Limiting the Scope of a Report

Selection Criteria

Once you select a report type, you must tell the Collector which conference data to include in your report. For example, you may want to see all the data for conferences that started during October  2004, for a single MCU. You would first select the MCU from the Select MCU drop down list. You would then select date field (Actual, Reserved, or First Connection) to limit the conferences included in your report by specifying the "From" and "To" date values as October 1 and October 31 respectively

Standard Date Range Selection

The Date Range drop down list contains standard date ranges that make it easier select common report date ranges.

Selection of dates from the pop-up calenders

The date range may be selected from the pop-up calendars beside the 'From' and 'To' date fields. These calender pop-ups allow or going back by months and years from the controls found on the top of each  calender.

Enter the date range from the keyboard

The date range may be keyed into the 'From' and 'To' date entry fields. The dates can be entered in the standard format for your location. The example below is entered in Month, Day, and Year order with slash separators that is standard in the United State. The function will also accept dash and period separators in date entries.

Time Zone Selection

There is a Time Zone drop down list for selection of a different time zone. This option allows for the reporting of conference information in the conference user's time zone.

Report Data Selection Ranges

Several reports allow for the selection of ranges for other data elements to limit the report scope. Alphabetic data range selections are not case sensitive. Capital and lower case for the same character are treated as equal. Two field selection options are available to better define the required report criteria. If an alphanumeric data element is selected, and an Exclamation Point is entered in the 'From' field then all conferences with a non-blank value for the data element that are within the requested time and date range will be reported. The Exclamation Point is the lowest character in the sort range. When no entry is made in the 'To" range field, the range is equal to and greater than the 'From' value. To limit the upper end of the selection range, enter a value that represents the highest value to be included in the report selection. For numeric data items, like MCU Conference ID, the zero '0' is the lowest numeric value in the selection range. You can enter the lowest numeric value in the 'From' field that you want included in the selection range. If no entry is made in the ''To' range field, the range is all the data values equal to or greater than the 'From' value. Again to set the upper limit to the selection range, enter the highest numeric value that you wish included in the report selection range. If two data elements are selected to define the report scope, then the criteria for both data element selections must be true for a conference to be reported.

Numeric Data Selection Fields

Several numeric data fields, such as Numeric ID, Conference Entry Password, and the Web Chairperson Password, are stored in a character format to prevent the truncation of leading zeros.

The report range section and sort fields that are stored in a numeric format:

The following entries will report all the conferences with a non-blank Reservation Billing Code and with a non-blank Reservation Remarks. Select the 'Billing Code (Res)' field (Reservation Billing Code) from the first data range drop down. Enter an Exclamation Point in the 'From' field and leave the 'To" field blank. Select the 'Remarks (Res)' field from the second data range drop down list. 'In the 'Remarks (Res)' field again enter an Exclamation Point in the 'From' field and leave the 'To' field blank. All the conferences within the date range that contained both a non-blank Reservation Billing Code and a non-blank Reservation Remarks field would be reported.

WARNING: If a data element is selected and the 'From' range field is left blank, the selection of the data element is ignored.

Conference Type Selections

The reports can also be limited to particular conference types. All conference types except Entry Queue conferences are selected by default. Select the conference types required for the report.

Report Sort Options

Several reports allow for the selection of a output sort order. With the two sort order drop down selections, conferences could be reported by Actual Start Date within Billing Code. To accomplish this, select the Billing Code (Res) in first Sort By drop down list and select Actual Start Date in the second Sort By drop down list. Alphabetic data sort order is special characters, then numbers, then alphabetic characters. Alphabetic characters are not case sensitive, so capital and lower case of the same character are equal. Numeric data is sorted in numeric value order.

Optional Fields

Several reports have optional fields, which are selected from check boxes or from drop down lists The Participant Conferences Report contains 4 drop down lists of optional fields to include in the standard report. Most other have 2 or three optional fields that can be selected via check boxes.
